Job Overview
The position of Office Administrator will report to the Vice President of Human Resources for the Greater Phoenix Economic Council. Primary responsibility will be to support the Operations team and the overall operational needs of the organization. The ideal candidate for this position will be a well-rounded utility player, adapting to a fast-paced environment with continually changing needs and requirements, and is continually curious and eager to learn. Preferably the candidate will have experience and expertise in several of the areas listed below.
Principal Duties and Responsibilities
Experience and Resource Management
- Regularly conduct professional interaction and provide positive experience for all GPEC visitors and staff
- Ensure all prospect, board members, investor and guest needs and requirements are met in a timely manner upon request
- Become familiar with GPEC investors and frequent guests
- Process incoming mail, and distribute correspondence to appropriate staff
- Coordinate FedEx, UPS and courier deliveries and receipts
Facilities Management and Oversight
- Work with building management company on office related issues and repair needed
- Assess and make recommendations for office improvements
- Manage work related to office improvements
Technology Management
- Provide ongoing IT oversight and support the relationship of a third-party IT management company
- Communicate IT related issues and upgrades to staff
- Provide administrative support and oversight of all other technology related equipment (such as AV and phone system) including training and user support
Human Resources Support
- Support employee enrichment and professional development programs
- Support timekeeping, payroll, and benefit processes
Event Planning Support
- Provide support to all aspects of event planning for the organization as needed
- Ability to delegate event planning tasks to other staff members where necessary
- Support internal meeting requests that involve external guests, and provide meeting support as necessary including, but not limited to greeting, food orders and meeting accommodations (i.e., setup/teardown, A/V, building security, etc.)
Accounting and Administrative Support
- Strengthen and maintain relationships with appropriate vendors
- Understand the finance and accounting responsibilities
- Support accounts receivable and accounts payable processes
- Provide audit prep support
- Understand and support the expense reporting process and travel expense policies
Requirements, Qualifications and Desired Traits
- Excellent organizational and communication skills
- Ability to work independently on assigned tasks as well as to accept direction on given assignments
- Being pro-active, flexible, intuitive, and versatile with project work
- Salesforce or equivalent CRM system experience preferred
- Accounting and expense software experience preferred
- Proficient in Microsoft Office 365 Programs such as SharePoint, OneDrive, OneNote, Word, Excel, PowerPoint, Outlook, or equivalent programs
- Event support experience preferred
- Able to excel in a fast-paced collaborative environment
