RFP: IT Services

The Greater Phoenix Economic Council (GPEC) is a 501 (c)3 non-profit public-private partnership in service of the Greater Phoenix region. GPEC strives to stay on the cutting edge of technology by working with a provider who is able to maintain and assess the current features of our IT systems infrastructure as well as recommend best practices related to other technology offerings that will enhance the organization’s ability to execute its mission.

Scope of Work

The scope of work includes:

  • Maintenance of existing IT equipment and systems.
  • Strategic and tactical evaluation of IT solutions to GPEC business needs.
    • Evaluation of current hardware and software to determine any compatibility and upgrades necessary to avoid disruption.
  • Designated account representative that serves as expert oversight and consultant.
  • Remote 24/7 technical support and incident response.
  • Training staff in existing and new systems.
  • Provision of services in conjunction with selecting other GPEC vendors.
  • Internal security and control support including:
    • Data backup, loss, and recovery
    • User permission and privileges
    • Password management and policy recommendation
  • Cybersecurity support and monitoring is a plus.
Estimated Timeline/Project Duration

Annual services contract with ability to renew.

Firm Information

Provide agency’s name, address, URL, and telephone. Include name, title and e-mail address of the individual who will serve as the agency’s primary contact. Include a brief description and history of the firm.

About the Firm/Portfolio

Tell us about you: why should we pick you? What makes you the perfect fit for this project? Please provide examples of similar clients you have worked with to enhance their systems.

In addition, please outline the any types of work or specific software and hardware products that are not currently within the capacity of the firm and/or the firm’s subject matter expertise.

Approach

How would you approach ensuring that our needs are met? Why would you approach it this way?

Qualifications

Tell us about your in-house capabilities and eligibility. What are your strengths? Weaknesses? Do you anticipate outsourcing portions of this project? Is so, how much of the service will be provided in-house versus through third-party contractors? Explain how this contractor(s) has helped your firm in the past.

Team

Tell us about the actual team who would be working on our systems. What are their qualifications? How long have they been employed with the firm? Which projects have they worked on before?

Clients

Please provide a list of your current/recent clients. Specifically, please note if you have worked with organizations similar to GPEC to provide these services.

Cost

As a nonprofit, we are interested in a strategic partner that will enhance GPEC’s brand in the remodeled office. As a 501 (c)3 GPEC is seeking a true partner with a commitment to the regional mission and the ability to contribute cash and in-kind contributions. However, we are interested in high/low cost estimates of services for planning purposes; this will not impact (either negatively or positively) consideration of your proposal.

Please specify what services are typically not included under your service agreement.

Assumptions and Agreements

GPEC reserves the right to reject any and/or all proposals or to waive any informality therein, to accept or reject portions of any proposal; to negotiate with selected firm; to award the contract based on GPEC’s needs and requirement.

GPEC also reserves the right to cancel or reissue the RFP in whole or in part, prior to the execution of a contract.

GPEC will not be liable for any costs incurred by the Consultant in preparation of a proposal submitted in response to this RFP, in conduct of a presentation, or any other activities related to responding to the RFP.

GPEC shall have a reasonable opportunity to inspect all service performed by, work produced and portfolio of the Contractor.

The final timetable may vary from the one included herein.

The Contractor is retained solely for the purposes of and to the extent set forth in the proposal. Contractor’s relation to GPEC during the term of this contract shall be that of an independent contractor. Contractor is responsible for having all insurance, licenses, permits, etc. which may apply to the service requested.

All artwork and related materials provided as final work by the Contractor will become the property, without restriction, of GPEC.
